[IMPORTANT] Fix “HSBC BACS Standard 18” Export – HSBCnet Upload Fails (2nd time to request such change)

Since Jul 2023 the “HSBC BACS Standard 18” file generated by Staffology is rejected by HSBCnet with “FILE FMT INCOMPATIBLE WITH FILE TYPE”. Payroll must enter each employee’s net pay manually.

Root cause to address:

Verify the VOL, HDR, DTL & FTR record layout against the official Standard 18 specification and HSBC-specific variant.Bacs

Correct any field-length, padding, line-ending or character-set mismatches causing HSBCnet validation failure.

Provide a test-mode validator or sample output so clients can confirm compliance before live submission.

Publish release notes once the template is updated and include version tagging in the file header for future traceability.

Request:

1. Review and align the file layout (VOL/HDR/DTL/FTR records) with HSBC’s Standard 18 spec.

2. Provide an updated template or mapping configuration that passes HSBCnet validation.

3. Supply versioned release notes and a way to pre-validate files before live export.

4. Include automated warnings inside the payroll run if any amount exceeds HSBC per-transaction limits to avoid separate rejections.

5. Offer direct SFTP/HSBCnet API push once files pass validation (future phase).

6. Advise on an ETA for this fix or any interim steps we can take.

7. Stop looping us between customer service & idea portal - THIS ERROR NEED TO BE FIXED ASAP BY EITHER ONE OF YOUR DEPARTMENT.
